This Privacy Policy explains what information OmiBots collects, how we use it, and the choices you have. OmiBots is a multi-tenant platform that turns your documents into an AI customer-service chatbot.

1. Information we collect

We collect the account information you provide (name, email, and password or Google sign-in), the documents and content you upload to your knowledge base, the conversations exchanged with your chatbot, and operational data such as usage metering and billing records needed to run your subscription.

2. How we use information

We use your information to build and serve your private knowledge base, generate chatbot answers, provide analytics and insights, process payments, send service emails (such as trial and expiry notices), and maintain the security and reliability of the service. We do not sell your data, and we do not use your uploaded documents to train shared models.

3. Data isolation & security

Each customer (tenant) is fully isolated — your documents, embeddings, and conversations are scoped to your account and are never shared with other tenants. Access is protected by JWT-authenticated sessions, and stored third-party provider API keys are encrypted at rest.

4. Third-party processors

To deliver the service we rely on third-party providers: AI model providers (such as OpenAI, Azure OpenAI, DeepSeek, or a provider you configure) to generate embeddings and answers; an email provider (Resend) for transactional email; a payment provider for billing; and Google for optional sign-in. Content sent to an AI provider to answer a question is processed under that provider's terms.

5. Data retention

We retain your documents and conversation history while your account is active. When a trial ends your chatbot is paused but your data is preserved so you can resume by upgrading. You may delete documents at any time, and we delete your data on account closure subject to legal and accounting obligations.

6. Your rights & control

You can access, update, export, and delete your content from your dashboard. Depending on your region you may have additional rights to access or erase personal data; contact us to exercise them.

7. Cookies & local storage

We use a single authentication session cookie to keep you signed in, and browser local storage to remember preferences such as your interface language. We do not use third-party advertising cookies.
